Vehicle onboarding

Add vehicles and equipment to the registry with full specifications — VIN, make, model, class, department assignment, telematics device ID, and purchase details. Import existing fleet records from CSV/XML with VIN-based duplicate detection.

The Vehicle Registry Engine captures every attribute of a municipal asset: unit number, VIN, year, make, model, body type, class (light/medium/heavy), licence plate, registration, department assignment, primary operator, purchase date, purchase price, odometer/hour meter, and photos. Equipment and attachments (plows, spreaders, trailers) are linked with parent-child relationships. Telematics device IDs are associated for automated data feeds. Bulk import supports CSV, XML, and database extracts with VIN-based duplicate detection.

Preventive maintenance

Configure PM schedules per vehicle class — oil changes, safety inspections, brake inspections — triggered by mileage, hours, or calendar. Telematics auto-update odometer/hours for accurate trigger calculation.

The PM Schedule Engine supports configurable templates per vehicle class: oil change every 5,000 km, safety inspection every 6 months, brake inspection every 20,000 km. Triggers can be mileage-based, hour-based, calendar-based, or combination (whichever comes first). GPS telematics continuously update odometer/hour readings, ensuring PM triggers fire at the right time — not 2 weeks late because nobody recorded the odometer. PM compliance dashboard shows upcoming, due, and overdue services fleet-wide.

The Fleet Dashboard combines data from every module: vehicle registry (status, assignments), GPS telematics (real-time positions, driver behaviour), maintenance (open work orders, PM compliance), fuel (consumption trends, anomalies), and AI (predictive maintenance alerts). Fleet managers see fleet availability rates, cost per km trending, and compliance status at a glance. Drill-down to individual vehicles shows 360° lifecycle view. Predictive maintenance alerts with confidence scores surface developing problems before they cause breakdowns.

MTO/CVOR compliance

Automated MTO safety inspection scheduling for commercial vehicles. Digital checklists, pass/fail recording, deficiency-triggered work orders, and safety certificate generation. CVOR facility audit data always current.

The MTO Inspection Manager schedules annual safety inspections per O.Reg. 611 for all commercial vehicles. Digital inspection checklists follow MTO standards. Pass/fail results are recorded with deficiency details and photo documentation. Failed inspections automatically generate repair work orders with the specific deficiencies listed. Safety certificates are generated for passed inspections. The CVOR Compliance Tracker maintains facility audit data, violation history, and safety records for MTO reporting — always current, always auditable.

Total cost of ownership per vehicle: acquisition, depreciation (PSAB PS 3150), maintenance, fuel, insurance, licensing. Replacement scoring based on age, mileage, cost trends, condition, and mission criticality.

The TCO Calculator aggregates all costs per vehicle per year — acquisition depreciation (PSAB PS 3150 compliant), maintenance (parts + labour from work orders), fuel (from fuel management), insurance, and licensing. Replacement Scoring Engine calculates a priority score based on configurable weights: age (20%), mileage/hours (20%), maintenance cost trend (25%), condition rating (15%), reliability (10%), mission criticality (10%). Break-even analysis shows when keeping a vehicle costs more than replacement. Fleet-wide priority ranking for 10-year capital forecast generation.

The Capital Forecast Generator projects 10-year replacement requirements based on replacement scores and expected useful life per vehicle class. Year-by-year capital budget with inflation adjustment. The EV Transition Planner evaluates each vehicle's EV suitability based on daily range requirements, duty cycle, and route characteristics — identifying which vehicles can transition to EV at their next replacement. Green Fleet Reporter generates annual sustainability reports for council: emissions trending, EV transition progress, anti-idling compliance, and benchmarking against comparable municipalities.
