Role-Based Journeys

One Platform, Every Perspective

Select a role to explore their complete journey through Civic CRM — from day-one onboarding to daily workflows and strategic outcomes.

Treasurer / Finance Director

From Revenue Visibility to Strategic Forecasting

Follow the Treasurer's daily workflow — from real-time payment volume dashboards through automated settlement reconciliation to revenue forecasting and council-ready financial reporting. Complete visibility into every dollar collected across every municipal service.

01

Step 01

Dashboard

Real-time revenue pulse

Open the Payment Volume Dashboard to see total payments today, this week, and this month — broken down by payment method, service type, and channel. Live-updating with drill-down to individual transactions.

The Payment Volume Dashboard (spec 4.1) provides a single-screen view of payment operations health. Real-time KPIs update continuously: total payments today ($142K), this week ($680K), this month ($2.1M). Breakdown by method (Visa 32%, MC 20%, Interac 28%, PAD 15%, Wallet 5%), service type (Tax 48%, Utility 28%, Recreation 12%, Other 12%), and channel (Online 42%, Counter 38%, PAD 15%, Mail 5%). Peak payment time analysis for staffing optimization.

02

Step 02

Reconcile

Automated settlement matching

Review the daily settlement reconciliation — processor settlement files automatically matched against internal transactions. Discrepancies flagged immediately. Missing settlements, amount mismatches, and chargebacks highlighted.

The Settlement Reconciliation Engine (spec 4.2) imports daily settlement files from each processor (Moneris, Global Payments) and automatically matches against internal transaction records. Green status indicates full match. Amber flags partial matches or timing differences. Red flags discrepancies requiring investigation — amount mismatches, missing settlements, or duplicate charges. Chargebacks are tracked separately with automatic reversal status. GL posting summary shows revenue by account and service type.

03

Step 03

Analyze

Channel & adoption metrics

Review channel migration analytics — online adoption rate, counter traffic trends, after-hours payment volume, payment method preferences. Cost-per-transaction by channel for ROI analysis.

The Channel Analytics Dashboard (spec 6.1) tracks payment volume by channel over time: online (growing 3% month-over-month), counter (declining 2%), PAD (stable), mail (declining 4%). Cost-per-transaction comparison: online $0.45, counter $4.80, mail $6.20, PAD $0.15. After-hours usage statistics show 31% of online payments occur outside 8:30 AM – 4:30 PM. Digital adoption scorecard tracks progress toward the 40% online adoption target. Device breakdown: mobile 58%, desktop 38%, tablet 4%.

04

Step 04

Forecast

Revenue projections

Use revenue forecasting to project payment volumes by service type. Seasonal pattern analysis for tax due dates and recreation registration periods. Cash flow timing analysis for treasury investment decisions.

The Revenue Projection Engine (spec 4.4) analyzes historical payment patterns with seasonal decomposition. Property tax spikes are visible around quarterly instalment due dates. Recreation payments surge during registration windows. Utility payments follow monthly billing cycles. Cash flow timing analysis shows settlement-to-deposit lag by processor (Moneris: T+1, Global Payments: T+2). Working capital projections enable informed investment timing. All projections include confidence intervals for conservative and optimistic scenarios.

05

Step 05

Report

Month-end package

Generate the month-end reconciliation package — settlement summaries, GL postings, chargeback activity, refund summary, and period-over-period comparison. Auto-generated, ready for finance review.

The Month-End Package Generator auto-compiles all financial reconciliation data: settlement summary by processor and date, GL posting detail by account and service type, chargeback and refund activity with resolution status, outstanding/unsettled transactions, convenience fee revenue summary, and year-over-year comparison. Export as PDF for finance committee, CSV for GL import, or Excel for detailed analysis. What previously took 3–5 staff days is generated in minutes.

06

Step 06

Optimize

Strategic improvement

Use payment analytics to optimize fee structures, negotiate processor rates, and build the evidence-based case for expanded digital payment services — backed by real adoption and savings data.

With 6+ months of payment data, the Treasurer can identify optimization opportunities: processor fee negotation backed by volume data, convenience fee adjustment based on payment method preferences, channel migration strategies to reduce counter costs ($4.80/transaction vs. $0.45 online), and expanded service types based on resident demand. Council presentations include ROI data showing counter traffic reduction, after-hours adoption, and cost-per-transaction savings. Source code licence means expansion costs are predictable.
